Role Description: The Operations Coordinator will be responsible for coordinating and monitoring daily pest control operations, ensuring field teams complete scheduled services efficiently, safely, and in line with client and contractual requirements.
The role will involve technician scheduling, AMC service tracking, customer complaint coordination, service documentation, invoicing support, attendance reporting, and coordination with Back Office, Accounts, HR, and other internal teams.
The ideal candidate should be highly organized, comfortable coordinating field teams, and capable of managing multiple service requirements while ensuring timely completion and accurate documentation.
Qualifications:
* Candidates should possess strong Operations Management skills, including coordination, scheduling, and process improvement.
* Candidates should possess excellent Communication skills for interacting with customers, technicians, and internal teams.
* Candidates should possess solid Customer Service abilities to handle inquiries, resolve issues, and maintain client satisfaction.
* Candidates should possess Administrative Assistance skills, such as maintaining records, preparing reports, and managing documentation.
* Candidates should possess Analytical Skills to interpret operational data, identify trends, and support decision-making.
* Relevant qualifications such as a diploma or bachelor’s degree in business, operations, or a related field are beneficial.
* Experience in service operations, facilities management, or pest control is an advantage.
* Proficiency with office software (e.g., MS Office, scheduling tools) and strong attention to detail are preferred.
* Ability to work in a fast-paced environment, prioritize tasks, and collaborate effectively with diverse teams.
Key Responsibilities:
* Coordinate daily pest control operations and field technicians.
* Plan and schedule technician routes based on client requirements, service frequency, location, priority, and manpower.
* Monitor AMC schedules and ensure all routine, periodic, and ad-hoc services are completed on time.
* Follow up on missed, pending, or rescheduled services.
* Coordinate customer complaints, inspections, re-visits, and corrective actions.
* Monitor service quality and ensure compliance with company procedures and client requirements.
* Maintain service reports, job records, AMC documentation, and operational records.
* Provide required service documentation to the Accounts/Back Office team for invoicing and reconciliation.
* Support submission and follow-up of AMC invoices through client portals.
* Coordinate with HR/Payroll regarding field staff attendance.
* Ensure compliance with HSE requirements, PPE, chemical handling, and client safety procedures.
* Coordinate with Back Office and Cost Analyst teams for documentation, cost tracking, and operational reporting.
* Ensure all operational records are properly organized and readily available for audits and client requirements.
Qualification and Experience:
* 2–5 years of experience in operations coordination, preferably in pest control, facility management, cleaning, maintenance, or other field-service industries.
* Experience coordinating field technicians or service teams.
* Experience with service scheduling, route planning, and AMC/service contract management.
* Good understanding of service reports, job completion records, and operational documentation.
* Experience handling customer complaints and service follow-ups.
* Basic understanding of invoicing documentation and client portal submissions.
* Good coordination skills with Back Office, Accounts, HR, and field teams.
* Knowledge of HSE, PPE, and safe working practices is preferred.
* Good communication, follow-up, organizational, and problem-solving skills.
* Proficiency in MS Office/Excel; experience with ERP/CAFM/CMMS systems is an advantage.
* Ability to work in a fast-paced field-service environment and manage multiple priorities simultaneously.
